The New PRC/VSC Cycle: What to Expect
When your updated PRC/VSC is due, you will receive an official notification email from LaserficheForms@ocdsb.ca outlining the following:
Renewal Timing: Please note the updated renewal schedule listed below:
- Staff that were hired on or before September 1, 2021 will be notified approximately two months in advance of your deadline as per the schedule provided in the 25 February 2026 communication. PRC/VSCs due by the end of April will receive a notification by the end of this week. Notifications for those renewing in June, July and August will be sent a reminder around May 1.
- Staff hired after September 1, 2021 will be required to provide an updated check 5 years from the date of their last PRC/VSC, which is different from what was provided in the 25 February 2026 communication. You will be notified approximately two months in advance of your deadline.
Support Documentation: A supporting letter will be provided to you in both English and French, in case it is required by your local police service.
Important Reminder: Only official versions are accepted and a PRC/VSC is only valid if it was performed within six months of the date it is submitted to the Employer.
Submission Instructions: Completed PRC/VSCs must be submitted electronically via the unique link provided in your notification email prior to your renewal date.
Important Reminder: DO NOT reply to LaserficheForms@ocdsb.ca or PRCquestions@ocdsb.ca, with your completed PRC attached. For your security and privacy, the only acceptable method is uploading the document through the link provided in the notification email.

Q: As an OT do I need a Police Record Check (PRC) or a Vulnerable Sector Check (VSC)
A: As an Occasional Teacher you are required to provide a Vulnerable Sector Check (VSC)
Q: What if the police service cannot provide my VSC by the renewal date?
A: If you haven’t received your VSC by the deadline, upload your official receipt via the link you received from LaserficheForms@ocdsb.ca This provides evidence the process has started. You will also be required to complete an Offence Declaration in the interim. Once the VSC arrives, you must submit the final document through the link provided in the initial email from LaserficheForms@ocdsb.ca.
Q: I am on an approved extended leave and my VSC is due. What should I do?
A: You are required to provide the new PRC on or before your return date. If there is a delay in processing at that time, please follow the receipt upload and Offence Declaration process mentioned above.
Q: Can I submit my VSC via email to PRCquestions@ocdsb.ca?
A: No. For privacy and security reasons, all PRCs must be submitted through the unique link provided in the initial email you will receive from LaserficheForms@ocdsb.ca.
Q: What if I experience technical difficulties?
A: If you have trouble logging into Laserfiche Forms or uploading a PDF, please submit a ticket to the Central Service Centre (CSC). For general questions about the renewal process, contact PRCquestions@ocdsb.ca.
Q: Can I submit a volunteer check or check I used with another Employer?
A: – Yes, as long as it was performed within six months before it is submitted, it is an original version Vulnerable Sector Check (VSC)
Q: Who pays for the new VSC?
A: Staff members are responsible for covering the cost of their new VSC.
Q:I have a current (within 6 months) VSC can I submit this early?
A: Yes; contact PRCquestions@ocdsb.ca to obtain your unique laserfiche link to upload current VSC.
Q:Do I need to obtain a new VSC on non work time?
A: Yes. Staff are responsible for completing the VSC process on their own time.
